How to Add and Embed Recruit Forms

The Embed Recruit Form content type allows you to add Ellucian Recruit inquiry forms directly to a webpage. This content type displays a customizable heading and description above the form and enables prospective students to submit inquiries without leaving your website. In this module, you'll learn how to add an existing recruit form to a page and understand the process for requesting new forms when needed.

Instructions

From the T4 Site Structure, navigate to the page you are updating. 

  1. Click the Add Content button.
  2. Use the filter box in the top right to search for Embed Recruit Form to quickly locate the correct content type.
  3. Next, select the Embed Recruit Form option to open the content entry fields.
  4. Enter a descriptive title in the name field to easily identify this piece of content internally within the section.
  5. Complete the form heading and form description fields. This text will appear above your form.
  6. Select your specific form from the drop-down menu provided below the description field.
  7. Click the preview button at the top right of the screen to review how your form will look on the page.
  8. If you're happy with your selected changes, please click Actions, Approve, and then Publish Section to see your changes on the live site.

Best practices

  • Only embed forms that directly support the page's goals, such as admissions inquiries, program information requests, or contact forms. Avoid adding multiple recruit forms to the same page
  • Add a descriptive internal name to help editors identify the form in T4
  • Always preview the page to confirm the form loads correctly and displays as expected before publishing
  • Double-check the dropdown selection to ensure you're embedding the intended recruit form, especially when multiple forms have similar names
  • Some recruit forms contain dynamic fields that expand based on user selections. If content appears cut off, contact a Power User to adjust the form height
  • If your form is not available in the dropdown list, contact a Power User and provide the Ellucian Recruit embed link so the form can be added to the system

Common issues and troubleshooting

  • Sometimes a form isn't listed in the dropdown menu. This means the form has not been added to the Recruit Forms list. Contact a Power User and provide the form's Ellucian Recruit URL.
  • Sometimes the form is cut off on the page. Some forms contain expanding fields that require additional height. Contact a Power User to have the form height adjusted.
  • Sometimes the form doesn't appear in Preview. Verify that the correct form was selected from the dropdown and refresh the preview. If the issue persists, contact a Power User.
